How we handle your information.

This page explains what the KIBA website collects, why it is needed, and what happens after you send it.

Website contact submissions

The contact form collects your name, company if supplied, email address, phone number if supplied, inquiry type, property location if supplied, and the message you enter. The website sends that information through Google's Gmail API directly to jermaine@kibagroupconstruction.com so KIBA can review and respond. The form does not open or depend on your personal email application.

Security and spam controls

The contact form uses server-side validation, origin checks, submission limits, and automated-submission screening. Form contents are not intentionally written to public files, analytics events, or ordinary application logs. Email and hosting providers process limited technical information needed to deliver and protect the service.

Trade-partner prequalification

The first-stage trade-partner application collects company and contact information, trade capabilities, service area, capacity, licensing and certification details, safety and insurance information, references, acknowledgements, and one certificate-of-insurance file. KIBA uses this information to create an application record, evaluate potential trade-partner fit, and request corrections. An application record is separate from qualification, approval, a subcontract, or an award of work.

Application records and the COI may be processed by Railway, Google Workspace, and Google Drive for delivery, access-controlled storage, and review. Email notices contain a reference number and application summary; the uploaded COI is stored in KIBA's designated Drive folder instead of being attached to the notification email.

Sensitive documents are a separate step

The public application does not request Social Security numbers, tax identification numbers, bank information, W-9 forms, or identity documents. Do not place that information in an answer or upload. The form limits the fields and file types it accepts, but automated checks cannot guarantee that an uploaded file contains no unrequested information. KIBA manually reviews Stage 1 submissions and may ask an applicant to correct or replace a file.

KIBA may request a completed W-9 after preliminary review through a separate, written onboarding instruction. The public website does not currently accept production tax documents. Do not send a W-9 until KIBA provides the approved submission method. KIBA uses a requested W-9 only for tax reporting, vendor-record review, and related business administration.

Government identity documents are not part of KIBA's ordinary W-9 request. KIBA does not request banking or payment credentials through the W-9 workflow.

Bid and development submissions

The bid and development forms collect the property and project details, contact information, and consent shown in the form. They send that information through Google's Gmail API directly to KIBA's Google Workspace mailbox. A successful submission displays a KIBA confirmation number. If delivery cannot be confirmed, the form says that nothing should be considered submitted.

You may optionally attach up to four JPG, PNG, or WebP project photos within the limits shown in the form. The server decodes each accepted image, removes embedded metadata through re-encoding, and sends the resulting JPEG with the project brief. The forms do not accept PDFs, plans, tax documents, banking information, or identity documents. KIBA may request appropriate project documents after reviewing the initial brief.

Use and retention

KIBA uses submitted information to respond, evaluate a possible project or trade relationship, prevent misuse, and maintain ordinary business records. Contact, bid, and development messages and any accepted project photos are retained in KIBA's Google Workspace mailbox according to normal business and legal recordkeeping needs.

Unengaged or declined Stage 1 trade-partner application records are scheduled for deletion 24 months after the last application activity. Records for a contracted trade partner are scheduled for deletion seven years after the later of final payment or contract end. KIBA may pause or extend deletion when a legal hold or applicable law requires it.

Information sharing

KIBA does not sell contact-form or trade-partner application information. Information may be processed by the website host, Google Workspace, and Google Drive for secure delivery, access-controlled storage, tax-record administration, and business review, or disclosed when required by law.

Your choices

You may ask KIBA about information provided through the website by emailing jermaine@kibagroupconstruction.com or calling (936) 245-3576.
